Importing Tax Role Information from TRIM

Do to the format of the TRIM program and the operating system it is based on, this tax role information can not be linked live to the GeoSync Mapping System. Therefore, the tax role information must be exported from TRIM and then imported into GeoSync. Only the information on the Front Page of Trim will be imported into GeoSync. Land, Residential, Commercial and Farm Building characteristics and Sales History will NOT be imported. This information must be typed into PVA Explorer directly.

NOTE: This process may fail or not work properly if the GeoSync® project is not setup correctly. See “Trim Import Settings” and “To Modify the PVA Settings” on the last page of this document.


 

To use:

Step 1: Extract the WORK file from TRIM

  1. Close GeoSync and TRIM on ALL computers except the one being used for the update.

  1. The Trim program must be closed on all computers except the one being used for the extract.

  2. The computer being used for the extract must be connected to a printer capable of printing from Trim.

  1. Set TRIM to the WORK File

  1. Select option 6-UTILITY

  2. Select option 3-FILE MAINTENANCE

  3. Select option 5-FILE SELECTION

  4. Select option _-WORK FILE

  5. Return to the main TRIM menu.

  1. Extract the WORK file from TRIM.

  1. Select option 6-UTILITY

  2. Select option 8-EXTRACT

  3. Sort by A (Account)

  4.            Account Number Y

                                      General N

                                     Property N

            Assessment Category N

  1. Beginning Account Number = lowest number

  2. Ending Account Number = highest number or 9999999 (seven 9’s)

  3. Click the Enter← key 2 times and wait for report to print (printer must be online).

 

Step 2: Import the Trim WORK file into GeoSync

  1. Open the GeoSync Edit project (countyPva_EDIT).

Note: This process can only be run in a project were at least one of the PVA layers (RES, COMM, PAR_ID or PARCELS) are set to Allow Update.  Also, the current user must have Full Editing or Administrative security level in GeoSync.

  1. Open the GeoSync Layer Tools and click on the TRIM tab.

  1. In the Layer Name box, click on one of the PVA layers that is updateable (i.e. lightbulb).

  2. Select the Import TRIM Work File tool then click the Do Function button.

  3. The Convert TRIM Database to Access dialog opens.

  4. OPTIONAL: If you use the Mortgage Book field in TRIM for mobile home designations, click in the check box for Merge Map_Num and Mortgage_Num.

  5. Click the Convert ASCII to Access button on the STEP 4 tab of the Convert TRIM to Access dialog.

  6. The conversion/import will be complete when all activity has stopped. And the dialog looks like this.

  7. Close the Convert TRIM Database to Access dialog and the Layer Tools dialog.

  8. Minimize GeoSync and return to the TRIM program.

 

Step 3: Extract the EXEMPT file from Trim

  1. Go back to the Trim program, it should still be open.

NOTE: The Trim program must be closed on all computers except the one being used for the extract.

NOTE: The computer being used for the extract must be connected to a printer capable of printing from Trim.

  1. Set TRIM to the Exempt File

  1. Select option 6-UTILITY

  2. Select option 3-FILE MAINTENANCE

  3. Select option 5-FILE SELECTION

  4. Select option 2-EXEMPT FILE

  1. Return to the main TRIM menu.

  1. Extract the WORK file from TRIM

  1. Select option 6-utility.

  2. Select option 8-extract

  3. Sort by A (Account)

  4.             Account Number Y

                                       General N

                                      Property N

             Assessment Category N

  1. Beginning Account Number = lowest number

  2. Ending Account Number = highest number or 9999999 (seven 9’s)

  3. Click the Enter← key 2 times and wait for report to print (printer must be online).

 

Step 4: Import the Trim EXEMPT file into GeoSync

  1. Return to the GeoSync Edit project (countyPva_EDIT).

Note: GeoSync and the project MAY be minimized and available from the Windows tool bar at the bottom of the computer screen.

  1. Open the GeoSync Layer Tools and click on the TRIM tab.

  2. In the Layer Name box, click on one of the PVA layers that is updateable (i.e. lightbulb).

  3. Select the Import TRIM Exempt File tool then click the Do Function button.

  4. The Convert TRIM Database to Access dialog opens.

  5. OPTIONAL: If you use the Mortgage Book field in TRIM for mobile home designations, click in the check box for Merge Map_Num and Mortgage_Num.

  6. Click the Convert ASCII to Access button on the STEP 4 tab of the Convert TRIM to Access dialog.

TRIM Import Settings

The settings shown below must be made for the TRIM Import process to function properly.

To Modify the PVA Settings:

  1. Start the GeoSync® program and Login with a User Name that has Administrative rights.

  2. Click on a project that has Edit Rights to at least one of the template PVA layers (i.e. PAR_ID, RES, COMM and/or PARCELS).

  3. Click Modify at the bottom of the Select GeoSync Project dialog.

  4. Click on the PVA Settings icon in the left box of the Data Source Manager dialog.

  5. Click the Edit Mode button at the top of the dialog and then Double Click the VALUE to be modified in the box on the right side of the dialog. The settings that are critical to the Import TRIM function are:

  1. PVADATABASE: The folder path and file name of the PVAMap database.

  2. PVATRIMDB: The folder path and file name of the database that your extracted TRIM data will be imported into.

  3. PVATRIMFOLDER: The folder/path were the TRIM progam creates your extract file (i.e. extract.xxx).

  4. PVACOUNTYCODE: Your PVA County code.

  1. After modifications are complete, click the X in the upper right corner of the Data Source Manager dialog.
